How to Take Payments with Pay by Link

Pay by Link lets you request a payment from a customer by email. Enter the amount and customer details in the Facilipay Dashboard, and your customer receives a secure link to pay online. This is ideal for deposits, phone orders, invoices and bookings.

Before You Begin
  • You must be logged into the Facilipay Dashboard with admin access.
  • Your account must be connected to a payment gateway. Pay by Link is enabled by default, but payments can't be processed until a gateway is connected. It works with all supported gateways: Stripe, Judopay, Authipay and Clover Ecommerce. See How to Connect a Payment Gateway.
  • Have your customer's name, email address and the amount you want to charge ready.

Step-by-Step: Send a Payment Link
  1. Open Pay by Link
From the Facilipay Dashboard, select Virtual Terminal, then click Pay by Link.
  2. Enter the Customer's Details
Enter the Customer Name and Customer Email. The payment link will be sent to this email address, so double-check it before sending.
  3. Enter the Payment Details
    • Amount: The amount you want the customer to pay.
    • Description: A short explanation of what the payment is for, such as "Deposit for table booking, 14 November". This appears in the customer's payment email and on their receipt.
  4. Set the Link Expiry
Choose how long the link stays valid: 24 hours, 3 days, 7 days or 30 days. Alternatively, select Custom to set any expiry you need.
  5. Send the Link
Click Send Payment Link. Your customer will receive an email with a secure link to pay.

What Your Customer Sees
  1. The customer receives an email containing the payment link, amount and description.
  2. Clicking the link opens a payment page where they confirm the payment details.
  3. They are passed securely to your connected payment gateway to enter their card details and complete payment.
  4. Once payment is complete, the customer receives a confirmation receipt by email.

Tracking Your Payment Links

You can track every link you send under Reporting → Pay by Links. Each link shows one of the following statuses:

  • Outstanding: The link has been sent but the customer has not paid yet.
  • Completed: The customer has paid successfully. Funds settle into the bank account linked to your payment gateway.
  • Expired: The link reached its expiry before the customer paid. The customer can no longer use it.
  • Refunded: The payment has been refunded to the customer.

Refunds

How you refund a Pay by Link payment depends on which payment gateway you use. If you're unsure how to issue a refund through your gateway, contact support@facilipay.io.

Tips & Best Practices
  • Write a clear description: Your customer sees the description in their email and on their receipt, so make it obvious what they are paying for. This reduces queries and chargebacks.
  • Choose a sensible expiry: Use a short expiry such as 24 hours for time-sensitive payments, and a longer one for invoices the customer may need time to settle.
  •  Check the details before sending: Payment links can't be edited once sent, so make sure the email address, amount and description are correct. If your customer can't find the email, you can view and copy their link under Reporting → Pay by Links and share it with them directly. If a link expires before the customer pays, send a new one.
  • Send a test link first: Before using Pay by Link with customers, send a small payment link to yourself to see the full customer experience.
